Smart Talk LLC ("EZRA Cloud", "we", "us", or "our") operates the EZRA expense management platform at ezracloud.com. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

  • Account information (name, email address, phone number)
  • Organization details (name, address, contact info)
  • Receipt images and associated data (vendor, amount, date, tax)
  • Financial information (fund balances, transaction data, bank connections)
  • W-9 information (when submitted through our platform)
  • Payment information (processed securely by Stripe — we never see your card number)

How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services
  • Process receipt images using AI-powered OCR (Anthropic Claude)
  • Send transactional communications via SMS and email
  • Match receipts with bank transactions
  • Generate financial reports and fund summaries
  • Provide customer support
  • Detect and prevent fraud

Data Security

We implement appropriate security measures including encryption at rest (AES-256-GCM with per-organization keys), encrypted connections (TLS), and role-based access controls to protect your data. Sensitive data like W-9 information is encrypted with per-organization keys derived from secure secrets.

Data Retention

We retain your data for as long as your account is active, plus 7 years for tax compliance purposes. All files (receipts, W-9s, documents) are stored securely in AWS S3 with encryption. When you delete your account, we soft-delete your data and remove it after the retention period.

Third-Party Services

We use the following third-party services to operate EZRA:

  • Stripe — Payment processing and bank connections
  • AWS — Cloud infrastructure, file storage (S3), and email (SES)
  • SignalWire — SMS and voice services
  • Anthropic Claude — AI-powered receipt reading (OCR)
  • Bugsnag — Error monitoring (no personal data)
  • Google Analytics — Website analytics (anonymized)

Your Rights

You have the right to:

  • Access and download your data
  • Request correction of inaccurate data
  • Request deletion of your account and data
  • Opt out of non-essential communications

Children's Privacy

EZRA is designed for use by organizations and their authorized adult members. We do not knowingly collect information from children under 13.
